Updating
Text and Image Pages Preparation With Microsoft Word, save the document you wish to upload to your Web site using the Web (htm, html) format. This option is found on the 'File' menu, with the exact format depending on your version of MS Word. It may appear on the File menu as “Save as Web Page”. If that selection does not appear on your menu, select the “Save As” option. In the popup screen where it says “Save as type:”, select the “Web Page (*.htm; *.html)” option. Note the folder and the file name; you will need this information later. Microsoft Word will save the images for your file in a sub-folder with the same name as your document. For example: If your document was named “products.doc”, the images that were in that document will be saved in a folder named products_files. When you have prepared and saved your source document you are ready to use Alacri to maintain your site. For the purposes of this user guide, we will use this document. Update Your Site 1. Open an Internet browser (such as Internet Explorer, Netscape, Mozilla, OmniWeb, NetFront, Phoenix, or any other HTML-compliant browser). Enter the Web address of your provider’s Alacri installation. (If you do not have this address, please contact your Web developer or Alacri provider.) You’ll now see the home page of your provider’s Alacri installation. Please note that this picture may differ from the appearance of your provider’s Alacri installation. Click on “Client Login.” 2. Alacri will now prompt you for your username and password. Enter the Alacri user ID and password provided to you by your Web developer. Please note: if you already have a site login or an FTP login, do not use those. This is your Alacri login. Tip If you’d like, you may bookmark the Log-In Screen as a shortcut for using Alacri. We do not recommend bookmarking any other pages of the Alacri interface; if your log-in information is not retained by your browser, then visiting such a bookmarked page would require you to log into Alacri again. 3. After a brief delay, Alacri will begin opening your site. Alacri needs to copy the current content from your Web site in order to allow you to modify it; this is a non-destructive process that only takes a few seconds per page. You’ll see a progress indicator while this is in progress. Your site configuration may require you to enter your “FTP” or “Web” password. If so, enter your FTP password and click the “Open” button. When complete, you will see a screen similar to the following, informing you that Alacri has successfully opened your site.
Tip If Alacri has already opened your site when you log in, instead of asking you to open the site again, Alacri will simply direct you to the Menu. 4. Click on one of the “Return to Menu” links once your site is completely opened. Tip If you return to the Menu before your site is completely opened, an alert box on the Menu will explain that your site is still being opened. Returning to the Menu before the process is complete does not abort it; just use the Refresh function of your browser until the site is fully opened and the alert dialog goes away. 5. The first item on the menu is now “greyed out,” or disabled; having opened your site already, Alacri does not need to open it again. Click on “Update My Site’s Text” to load Alacri’s text management interface. 6. Select a file to update. In the left center of the screen is a drop-down list showing all the pages and sections of pages that you can change. To select a section to update, click on the list box and click again on the document you would like to update. Tip The Preview area to the right will update to show you a graphical preview of the section you have selected. (If JavaScript is disabled in your browser, you will not see the Preview.) After selecting a list item, click the “Next” button. 7. If your Alacri account has multiple formats enabled, Alacri will now ask you what kind of document you just uploaded. If you do not see a screen such as the one shown here, skip to step 8.
Select the format of the
document you created and saved in the ‘Preparation’ steps. For example, if you
saved a Microsoft Word document ‘as Web page’ or in ‘Web format’ then you would
check the “.HTML (Word HTML File)” option. 8. Select the document you created and saved in the ‘Preparation’ steps by using the 'Browse' button and selecting your file*. When done, click on “Next”. Tip Some installations of Windows may make it difficult for you to distinguish between your source Word documents and the “Save for Web” versions of the same files. Here are a few common icons: Your icons may differ from these pictured; these are only
examples. In particular, if you use Netscape or another browser, your HTML/Web
files may have an icon similar to that of your browser. 9. A preview of your document
as it will appear on your Web page will display. Note that the first time you
update your Web page the images will appear as blank squares with a small box
in the upper left corner. Inside the small box will be a red x. These boxes
show where your images will go. The next time you make changes, the images from
your current document will appear in place of the empty boxes. If
you have another document with text to update, you may click on the “Update
Another File” link and return to step 6. To
update the images for your Web pages, click on “Return to Menu”. 10. You now return to the menu. Click on “Update My
Site’s Images”. 11. The first of the ‘Image
Upload’ screens is displayed. This is the Document Select screen. On this
screen you can select the document that contains your image. Check the “My image is in the following file” radio button. Then select your Web page file from the drop down list and click “Next”. 12. You now see the next Image Upload screen, the ‘Image Select’ screen. 13. Click on the ‘click here’ link to see what names were assigned to the images that MS Word saved when you saved your document ‘as Web page’. This will open a new Web browser window displaying the image placement in your document with the names of the images. When you have identified the name for the image you want to update, close this window. 14. Back at the screen displayed in step 12, click on the “Browse” button to find the correct image. Remember that images MS Word saves images in a sub-folder with the same name as your document followed by “_files”. When you find the image, select it by clicking the image name to highlight it and then clicking 'Open', or by double-clicking the image name. When you have selected the image you want, click “Next”. NOTE: At any point in the
next few steps you can click “Finish” to skip the remaining image processing
steps and proceed to step 19. 15. The “Image Information” screen displays the image you have selected as well as technical information about the image. If the image is the correct one, click 'Next'. 16. You can now adjust the size of your image on the next screen. In most cases where you are uploading a new page your image should be correctly sized already. The current size of the image is the one normally shown on this screen. If you wish to change the size of the image, enter the new number and click ‘Apply’ the image will be redisplayed in the new size. Click on “Next” to proceed to the next screen or “Finish” to skip to step 19. 17. On the ‘Image Brightness’ screen you can adjust how light or dark your image appears. The center image is your starting image. If you wish to make a change, click on the radio button below a different image to adjust your image to that lightness or darkness. Note that some images may be less affected than others. For example, photos are usually affected much more so than sharply delineated colors. Click 'Apply' if you made a change. Click on “Next” to proceed to the next screen or “Finish” to skip to step 19. 18. On the ‘Select Compression’
screen you can adjust the compression level of your image. Images with more
compression will load faster, while images with less compression will be
sharper and have more detail. Select the image that is the smallest size that
still looks sharp. If you wish to make a change, click on the radio button below a different image to adjust your image to that compression level. If the actual image is larger than the displayed thumbnail, you can click on a thumbnail image to open a new browser displaying the selected image at full size. The image with the suggested compression level is checked as a default. Click 'Apply' if you made a change. Click on “Finish” to proceed to the next screen. 19. The ‘Select a File’ screen lets you choose the file name for your image file, based on the images needed for that Web document. Click on the radio button below the appropriate image and click the “Finish” button. 20. You will now see a confirmation screen. Click on the “Return to Menu” link. 21. You can now select another image to update by clicking on “Update My Site’s Images”, or if you are ready to load your changes to your Web site, click on “Save My Site” 22. A verification screen will appear showing the files to be updated. Depending on your site configuration, this screen may or may not include a field for you to enter your FTP password. When ready, click on “Submit Query” to install the changes. 23. You will now see the confirmation screen. That's it! Your site has been updated! You
may now click on the “Log Out” button. |
